With the workflows, you can personalize your sales funnel and create custom flows tailored to your needs. You can send cold emails, notifications, update prospects in bulk, push changes into the integrated apps, etc. All of that can be done automatically, based on the conditions you set.

Create a new workflow flow

Open the Workflows page and click the + New workflow button to start.

Types of workflows

A workflow can make operations with your prospects, organizations, and deals.

Depending on the objects that enter the workflow, choose a prospect-based, organization-based, or deal-based workflow.

Email sending settings (prospect-based workflows)

Default sending address

The default sending address is the sender of all emails in the workflow. You can choose a particular user to be the sender or the Prospect's owner.

Sending time

Select the time zone for the workflow, days of the week, and the needed time slot for sending emails. More info on the sending time settings.

Send emails as threads

If you want the emails from this workflow to be sent in the same thread with the same subject (e.g., Re: Initial email), enable this option.

To use a different subject for every email in the workflow, uncheck this option.

Enrollment strategy

Select how you want to add prospects, organizations, or deals to your workflow: manually or automatically (triggered by an event).

Steps of the workflow

To add a new step, click on a + button, and choose the needed option from the panel on the right.

Depending on the workflow type (prospect-based, organization-based, deal-based), different types of steps are available.

Building Blocks (all workflow types)

These steps are used between the action steps.

  • Delay - add a delay between your emails, notifications, tasks, etc.

  • Conditions - split the further steps based on the conditions (e.g., send one email if the prospect clicked on a link from an email, and another one if they didn't).

  • Review queue - hold prospects/organizations/deals from the next step to manually review them.

Outbound (prospect-based workflows)

  • Email - emails to your prospects.

Notifications (all workflow types)

  • Internal email - email notifications to yourself or your teammates.

  • Internal SMS - text messages to yourself or your teammates.

  • Slack - send a message to the connected Slack account.

Actions (different actions for different workflow types)

  • Create task - to-do items.

  • Add note - create an internal note on the prospect's, organization's, or deal's panel.

  • Create deal

  • Update Fields - change prospect's, organization's, or deal's info, add to a new list, etc.

  • Enroll in workflow - Use this step to move prospects into another workflow.

Syncing (prospect-based workflows)

Push prospects to the apps that you integrated.


Exit strategy

Switch to the Settings tab of the workflow to set up the Exit Strategy.

Prospect, organizations, and deals automatically exit workflow when they went through all available steps. They can also automatically exit the workflow when at least one of the selected exit triggers happen (prospect replied, email hard bounces, etc.).

View options

Click + or - to zoom in or zoom out.

Click the Fit to view button to zoom out and fit the whole flow into the screen.
